Guidelines for Making an Aportfolio Public (Not Password Protected)

There are very few cases where you will need your academic Aportfolio to be fully public and searchable on Google. The safest way to share your Aportfolio with professional audiences is to set your permissions to Public and Password Protected. This allows you to share your Aportfolio URL and password with employers, graduate schools, and other audiences without security, copyright, intellectual property, or privacy concerns.

If you are requesting that your Aportfolio be fully public and searchable by anyone, anywhere, please follow these guidelines:

  • Remove all references to your email address, phone number, street address, Banner ID, or Social Security number from documents and media. Consider creating a contact form so visitors can reach you without revealing private information.
  • Remove any references to other people’s email addresses, phone numbers, street addresses, Banner IDs, or personal contact information.
  • Cite all images, media, papers, artwork, videos, and music that were not created by you, and correctly attribute the author or creator. In some cases, you may need explicit permission from the creator to post or link to the work publicly.
  • Be aware that public websites are regularly scraped or mined. Content such as papers, artwork, media, and research may be copied, resold, or reused without permission. We recommend watermarking photos and posting excerpts rather than full versions of major works.
  • If you are posting videos, photos, or papers that include or reference other people, you should seek their permission before posting publicly. This is especially important when posting images of children or clients.

Identity theft is a serious risk when publicly sharing your own image alongside detailed personal information about where you live, what you do, and your background or accomplishments. For these reasons, we strongly recommend keeping your Aportfolio password protected.
